What the shop knows about you, in the same plain terms we would use across the counter.

What the counter takes down

An order at the counter or by email leaves us with what we need to make it up and get it where it is going: your name, the way to reach you, and — where flowers are being delivered or collected by somebody else — the recipient's name and address, along with any message you would like written on the card. Where you write to the shop with a question, we hold that message and the address you sent it from.

Why we keep it

We keep order details so the arrangement can be made and delivered, so we can reach you if something you have chosen is unavailable or a delivery cannot be completed, and so the sale can be recorded properly in the shop's accounts. Correspondence is kept so we can answer you and pick up the thread if you write again. Our basis for holding it is the order between us, together with our legitimate interest in replying to enquiries and the legal duty to keep proper accounting records.

Messages on cards

The words you ask us to write on a card are read by whoever writes it out, and they travel with the flowers. Sympathy and other personal messages are treated as private and are discarded once the order has been delivered.

How long it stays with us

Details of an order stay with us while the order is being fulfilled and afterwards for as long as the sale needs to appear in the shop's accounting records, which is a period fixed by tax law. Enquiries that do not turn into an order are cleared once the exchange has run its course. Recipient addresses are kept with the order they belong to and go when it goes.

Who else sees it

Inside the shop, the people making up and delivering the order. Outside it, our accountant sees what the accounts contain, and a courier sees a delivery address where an order travels further than we can take it ourselves. Information goes beyond that only where the law obliges us to provide it.

Asking us about your details

You are entitled to ask what we hold about you, to have it corrected, to have it erased where we no longer need it, to ask us to limit what we do with it, to receive a copy in a portable form, and to object to a particular use. Ask at the counter, or write to [email protected], and you will get an answer setting out what the shop holds and what has been done about your request. The Information Commissioner's Office is the United Kingdom authority that supervises how businesses handle personal information, and a concern about our handling of yours can be taken there.
